Wedding Vehicle Hire Advice Guide

Hiring a wedding car?
Here we have tried to bring together many of the issues commonly known about when considering hiring a wedding car.

Of course, if you would like us to add to this section, send us your tips and we will consider them for inclusion.

Start by running through the wedding day itself.

General:
What is your budget for your transport requirements?
Your first consideration will be deciding upon the sort of vehicle you want.
Where will you and your guests travel from?
  Who travels together?
Do any guests have any special needs?
What experience does the chauffuer(s) have?
  Are the chauffuers uniformed?
What would happen in the event of a breakdown?
What contingencies do the operators have in place if the vehicle becomes unavailable for the date booked?
What insurance policies do the operator(s) have? i.e. public liability, breakdown cover, passenger liability.

Horse & Carriage:
Is the carriage supplied with umbrellas in the event it rains?
What is the planned route for the horses and does the operator agree this to an acceptable distance?
How long will it take to make the journey?
Do you know of any planned road works that could cause the horses (and your journey) disruption?

Bookings:
Discuss your booking with your supplier in detail.
What are the charges if your event runs over?
How long will the chauffeur wait if there are unforeseen delays?
Do your suppliers provide ribbons, decorations and champagne? if so, what colours are available etc?

Cancellations:
If you need to cancel your booking or make changes to the booking, what are the suppliers terms and conditions?
If the supplier cancels the booking under the terms of the hire agreement, what are YOUR contingency plans?

Geographics:
You need to consider all your locations very carefully.
Where will you be collected from? Where is the Ceremony? Where is the reception party? You will need postcodes.
Does the operator agree to supply the vehicle to take the bride & groom to airports or other venues?

Flowers:
Remember to arrange for the car owner to have the correct flowers and decorations.
Wedding vehicle operators usually have a good relationship with local florists - discuss this with them in detail.

Additional Cars:
Who can arrive at the wedding venue independently?
Have you asked family and friends if they can make their cars available for the guests to be moved around?
Often, suppliers have matching vehicles, one of which can be affordably made available for throughout the day.

Hire Agreements:
Make sure you have a signed agreement from the vehicle operator.
Remember, we are a referral agency - your agreement will be with the vehicle operator(s), for insurance purposes.
Your payment to us is inclusive. The operator, will contact you in person to finalise the Hire Agreement.
You can therefore expect their call soon after your booking is confirmed with us.
